Creating Proposals
Go to Proposals and click New Proposal, or create one directly from a lead, booking, or client page.
Setting up a proposal
Source and client
First, choose where this proposal is coming from:
- Lead - Select the inquiry you're responding to. Client details, event preferences, and any offer guide selections are pre-filled.
- Booking - Select an existing booking to add pricing, a contract, or payment collection.
- Client - Pick a client from your list for a standalone offer.
If you're creating from a lead that came through an offer guide, the client's package preferences are already loaded as a starting point for your line items.
Proposal details
- Title - A name for the proposal (like "Wedding Package Offer" or "Brand Shoot Proposal")
- Personal message - A note to the client that appears at the top of the proposal. Make it warm and personal.
- Event details - Title, date, time, location, and duration. Pre-filled from the lead or booking if available.
- Internal notes - Private notes for your own reference. These are never shown to the client.
Line items (your pricing)
Add the services and products you're offering:
- Name and description for each item
- Quantity and unit price
- Tax rate (optional)
You can link items to your existing booking services, service packages, or products, or add completely custom items. When linking to a service package, the pricing is locked in at the time you create the proposal. Changes to the package later won't affect this proposal.
Item roles
Each line item can have a role that controls how clients interact with it:
- Included - Part of your base offer. Always counted in the total.
- Optional add-on - Something extra the client can choose to add. Shows as a selectable option on the proposal.
- Alternative - Part of a choice group. Group alternatives together so the client picks the one they prefer.
- Featured - Highlighted at the top of the proposal to draw attention.
The combination of roles is what makes buyer choice work. Clients see your included items as the foundation, then choose from add-ons and alternatives to customize their package.
Contract (optional)
Pick a contract template to include. When you send the proposal, a contract is created automatically with variables filled in (client name, event date, pricing, etc.). The client needs to sign it before they can accept the proposal.
Questionnaire (optional)
Pick a questionnaire to include. A form is sent to the client as part of the proposal. They need to complete it before accepting.
Payment settings (optional)
Turn on Collect payment to require payment as part of accepting:
- Full payment or deposit (fixed amount or percentage)
- Online (Stripe), manual (bank transfer, etc.), or client chooses
Stripe must be connected for the proposal's currency if you want to offer online payment.
Booking confirmation rule
If the proposal is from a lead, you can control what happens when the client accepts:
- On accept - Booking is created and confirmed immediately
- On online payment - Booking is confirmed only after online payment goes through
- On manual payment confirmation - You manually confirm after receiving payment
- None - No automatic booking creation
Auto-convert lead
For proposals from leads: turn this on to automatically create a booking when the client accepts. Requires an event date on the proposal.
Editing
Draft proposals can be freely edited. Once sent, you can't edit them. If you need to make changes, cancel the sent proposal and duplicate it to create a new draft.
Expiry
Set a deadline for the client to respond. After the expiry date, the proposal is no longer accessible and its status changes to "expired." You can duplicate it with a fresh deadline if needed.
