Items

An item is something you charge for, saved once so you can drop it onto an invoice, a proposal or a booking without retyping. Sessions, albums, prints, travel, extra hours.

If you've used other software, these are what other tools call products.

They live under Templates → Items, the first tab of your Templates library.

Items are how invoice lines get their names

This is the part worth knowing up front: on an invoice, a line's name comes from the item picker, which reads Select an item…. There's no free-text name field. A line can carry a description on its own, but only an item gives it a name.

That isn't a detour. Add item at the bottom of the picker creates the item and puts it on the line in one step. So your catalogue builds up as you work, rather than as a chore beforehand.

Proposals and bookings are looser. Their picker reads Select an item or type a name, so you can pick a saved item or type a one-off name that isn't kept.

Creating one

On Templates → Items, Add item opens a New item form. Inside an invoice, Add item at the bottom of the item picker opens the same form and drops the result onto the line.

Name. What the client reads on the invoice: "Wedding coverage, 8 hours", "Fine art album, 30 pages", "Travel outside Greater London". Not "WED-8".

Description. Optional, and it takes formatting: bold, links and lists. This is where a package lists what it includes.

Price. Optional. Leave it empty for anything you quote case by case, and the list shows a dash instead of a figure. You still set the price on each document.

CoreHue asks for your default currency before it lets you add your first item, since a price needs one. See Currencies.

Using one

On an invoice, proposal or manual booking, open the item picker and choose one. The name, description and price fill in.

Everything is then yours to change for that document. Editing a line never changes the saved item. The description only fills in if you haven't already written one, so picking an item to set a label won't wipe a note you typed.

What to save

Anything you've typed twice.

Your core services, obviously. But the quiet wins are the extras you charge occasionally and have to think about each time: travel, rush turnaround, an extra hour, a second shooter, parking. Those are the ones you under-charge for, because working out the number is a nuisance.

Prices and currency

An item's price is a plain number with no currency attached. The list shows it in your default currency. Use the item on a document in another currency and the same number is used, exactly as you typed it. Nothing is converted, so check the figure rather than assuming.

Changing prices

Click a row, or choose Edit from its three-dot menu, to edit an item. Editing changes what future documents pick up. Invoices already created keep the price they were created with, so raising your rates never disturbs an invoice a client is holding.

Deleting

Delete in the row's three-dot menu removes an item, and CoreHue confirms first. Deleting leaves existing invoices untouched: their lines were copied at the time and stay exactly as they were.

Nothing you've already sent or been paid for is affected.
