Set up CoreHue for wedding photography

Weddings are high-trust, high-value and booked months ahead. Couples want to feel looked after from the first email, and you want every detail pinned down well before the day. CoreHue is built for exactly that: one branded run from inquiry to final gallery.

Here is how to set it up.

How weddings usually flow​

Most wedding photographers work inquiry-first, talking to a couple before taking their date. So the path is inquiry, then a quote, then a signed contract and deposit to lock the date, then details, then delivery.

Set it up​

  1. Create a wedding inquiry service. In Bookings → Services, click New service, name it, and choose Inquiry. Couples reach out and you look before anything is booked. An inquiry service has two tabs, Details and Inquiry flow. On Details, set Pricing to Starting at, which is the honest answer for a wedding. Write a description that covers coverage hours, second shooter and albums. See Inquiry services.
  2. Build your items catalogue. Put your coverage blocks, second shooter, album and engagement session into Templates → Items once. Every quote and invoice pulls its line names from there. See Items.
  3. Prepare your wedding contract. Start from a contract template and add your terms: coverage, cancellation, rescheduling, and what happens if someone falls ill. Use variables so names and dates fill in by themselves. Add client fields for the things only the couple can tell you.
  4. Send one proposal. A proposal carries the whole thing: Included item rows, Add-on rows, a Client choices group for your coverage levels, and the agreement itself. Switch on Payment and set it to Payment schedule, with the deposit as the first row and the balance due before the day. Switch on Create a booking so the wedding lands in your calendar by itself.
  5. The couple accepts, signs and pays. Accepting locks their choices and creates the contract and the invoice. They sign, then pay the deposit. Only then is the booking created, already confirmed. Their booking page becomes the place the rest of the job runs from. See After acceptance.
  6. Gather the day's details. Once the booking exists, send a questionnaire for the timeline, venue addresses, family groupings and key moments. You can also set it on the service to send itself. Open the service's Booking flow tab, then Follow-up questionnaires, and choose Before service with the number of days. See Sending after a booking.
  7. Deliver a branded gallery. After the wedding, deliver in a gallery with chapters for getting ready, ceremony and reception. Create a selection request for the album so the couple know exactly how many frames to pick. The ready-made Album picks request comes with a 40-photo limit. See Collections.

A few tips​

  • Turn on invoice reminders so CoreHue chases the final balance for you. The points you can choose are 7 days before the due date, on the due date, and 3, 7 or 14 days after. See Reminders.
  • Keep a separate questionnaire for engagement shoots so you can reuse it every season.
  • Connect Google Calendar so wedding dates block out automatically and you never risk a double booking.
  • Your counter-signature is not urgent. A proposal's contract stops at Signed and waits for you, but it never holds up the couple's booking. Home lists them under Needs attention as contracts waiting on you. Clear them when you have a minute.
