Recording work from before CoreHue

When you move over, you will want some history in place: past clients, previous bookings, maybe unpaid invoices.

The thing to avoid is CoreHue emailing clients about sessions that happened last year.

Do these two first​

Set your default currency. It is chosen once and cannot be changed afterwards, so get it right before you create anything with a price on it. It lives in Settings → Profile.

Set your numbering. The first time you open Payments → Invoices → New invoice, CoreHue asks you to Set up numbering. You choose an invoice prefix, a payment prefix, the number each sequence starts at, and how many digits long each number is. If you are continuing a sequence from other software, this is where you carry it over. It is a one-time choice. Once saved it is locked, and Payments → Settings → General only shows it back to you. Past bookings​

Create them from Bookings → All bookings → New booking.

There is no historical setting to find. Give the booking its real date and CoreHue works out the rest. A booking whose date has already passed is recorded as history. There is no confirmation email, no reminders, and nothing asked of the client. It goes straight in as Completed.

So put in the date it actually happened, not today's date. That one detail is what keeps a client from getting an email about a wedding you shot last spring.

Leave Service (optional) empty on a past booking. A direct-booking or mini-session service cannot take an old date, and CoreHue tells you to use a one-off booking instead. An inquiry service is fine.

How much history to bring​

Less than you think.

Worth adding: clients you expect to work with again, and anything with money still outstanding.

Not worth adding: every booking you have ever taken. You are unlikely to look at them, and the time is better spent setting up the things that will save you work from here.

A reasonable line is the last twelve months, plus anyone with an unpaid invoice.

Past clients​

Contacts create themselves as work comes in, so you do not need to bring everyone over up front. There is no way to bring in a spreadsheet either, so anything you do bring is typed in by hand. That is another reason to bring less.

For clients you are actively working with, add them yourself and set Contact type to Client rather than Lead. See Adding and finding contacts.

Outstanding invoices​

If someone owes you money from before, create the invoice in CoreHue and send it. That puts it in your chasing and in your figures. It also gives them a way to pay online that they may not have had.

Use the real original date so your figures stay honest. Remember that invoice lines are picked from your Items catalogue. You can add a missing one from the item picker itself with Add item, so you do not have to leave the invoice.

What not to bother with​

Old galleries. Re-uploading years of deliveries eats storage for photos nobody will open. Keep your own archives and start fresh.

Signed contracts from before. Keep the PDFs you already have. Recreating them in CoreHue does not make them any more signed.

Old questionnaire answers. They belong to shoots that are finished.

Then get on with it​

The point of moving is what happens next. An afternoon of history is fine. A week of it is a week not spent setting up the booking page that starts earning.
