Filling in names automatically
Write a message once and have every client see their own name in it.
Using it
Open Variables in the toolbar above the box and choose Client's first name. A tag appears in your text.
You write:
Hi Client's first name, thanks for getting in touch. I'll come back to you within two days.
Kate receives "Hi Kate". Tom receives "Hi Tom".
The tag is one piece of text, not separate letters, so it moves and deletes as a whole.
The menu also offers Business name, Business email, Today's date and Current year. There is no variable for the amount or the service name. If you need those, write them out.
Where it works
Every send screen. Sending an invoice, a proposal, a contract, a questionnaire, a booking, a receipt or a reminder opens the same message screen. Variables sits in the formatting bar above the message, and the same variables work in the subject line.
Saved email templates, under Templates → Emails, so a template you drop into a message is already personalized.
Booking confirmations and inquiry auto-replies, under Bookings → Settings → Emails. Booking confirmation and Inquiry auto-reply each open a message box with Variables in its toolbar. A service can carry its own confirmation message, on the Booking flow tab under Confirmation.
Intake form confirmations, the message someone sees after submitting the form.
Two places behave a little differently:
- The Messages box has the menu too. Because you already know who you are writing to, the tag shows their real name straight away, in front of you.
- The gallery send screen leaves out Client's first name, because you can type in several addresses at once. Write those greetings out in full. The other variables are still offered.
When there is no name
Some contacts arrive with an email address and nothing else. First name then reads there, so the sentence still works: "Hi there, thanks for getting in touch."
Worth writing with that in mind. "Hi First name" reads fine either way. "Thanks First name!" becomes "Thanks there!"
In the preview
Send screens and the template editor show a live preview of the finished email beside the box you are typing in. On a narrow screen, an Editor and Preview switch swaps between the two.
When you are writing to a real client, the tag in the box and the preview both show their actual name. When you are building a reusable template, it stays as a tag, because a template has no recipient yet. It fills in when you send.
