Document reminders

Document reminders email your clients to follow up on sent documents and any approaching deadlines, so you don't have to chase them yourself.

You'll find them under Documents → Reminders.

How reminders are organized

There are three sections, one for each kind of document:

  • Proposals
  • Contracts
  • Questionnaires

Each section has its own switch, and all three are off by default. Turn on the ones you want, and leave the rest alone.

Once a section is on, you choose when the reminders go out using two groups of checkboxes:

  • After sending: a nudge 3, 7, 14, 21, or 30 days after you send the document.
  • Before deadline: a heads-up 7, 3, or 1 day before the document's deadline.

Pick as many or as few of these as you like. The checkboxes stay greyed out until that section's switch is on.

Before deadline reminders only apply when a document actually has a deadline, an expiry or close date. If a document has no deadline set, those reminders are skipped for it.

These settings are account-wide

The switches and timing you set here apply to every matching document across your account. Turn on contract reminders, for example, and they cover all the contracts you send.

Pausing reminders on one document

Sometimes you don't want a particular client chased, maybe you're already talking to them directly.

On an individual document, you can pause its reminders separately, then resume them later when you're ready. The account-wide settings keep running for everything else.

A few good defaults

  • Contracts: a reminder 3 and 7 days after sending works well for getting signatures back.
  • Proposals: add a before deadline reminder if you set expiry dates, so clients act before the offer closes.
  • Questionnaires: later nudges (14 or 21 days) suit forms clients tend to put off.
