Questionnaires

A questionnaire is a set of questions you send to a client. They answer online and the answers land on their record.

It replaces the email thread where you ask five things and get two answers.

The template and the request​

Two things share the name, and it saves confusion to separate them early.

A template lives under Templates → Questionnaires. It's a reusable set of questions, and nothing is tied to it.

A request is what a real person receives. It carries its own copy of the questions, its own status, its own link and its own expiry.

Editing a template never changes a request that's already out. That's deliberate. Nobody should find the questions changing while they're half way through answering.

When to use one​

Before a shoot, for the details you always need: timings, addresses, who's who, must-have shots, access at the venue.

After a shoot, for feedback or a testimonial.

How it's different from an intake form​

They point in opposite directions.

Questionnaires go out to someone you already have. You know who you sent it to and you're waiting on them.

Intake forms come in from strangers and create a new contact.

If you're asking a booked couple about their timeline, that's a questionnaire.

Where requests come from​

Sent by you to a contact, an inquiry or a booking. These are the ones the Questionnaires page lists.

Asked during booking, as the intake questions on a booking service. Those answers arrive with the booking.

On a schedule around a booking, sent automatically when the booking confirms, a set number of days before the service, or a set number of days after. See Sending after a booking.

That last one is the most useful and the least used. A questionnaire that sends itself two weeks before every wedding is a job you never do again.

Note

The Questionnaires page lists the requests you sent by hand. Intake answers and scheduled sends appear on the booking, and on the contact's Questionnaires tab, where a Source column tells you where each one came from.

New proposals don't carry a questionnaire. Ask what you need at booking, or send a questionnaire once the booking exists.
