Sending proposals

Before it can go

A draft has to be complete before Send proposal works. If it isn't, the button is greyed out and a banner lists exactly what's missing. The usual ones:

  • No included item or client choice yet
  • A client choice group with fewer than two options, or two groups with the same name
  • Create a booking is on but there's no service date
  • Payment is on but nothing is priced
  • The attached contract is empty, or uses a detail CoreHue can't fill in
  • The attached contract is set to use your saved signature and you haven't saved one

Fix those on the proposal and the button comes alive.

Sending by email

Send proposal opens the email composer. The client is filled in, and the Subject and Message are yours to edit. The right-hand panel shows exactly the email they'll receive. On a narrow screen, Editor and Preview switch between them.

Use template drops in a saved email template. Client's first name, in the toolbar's Variables menu, puts their name in without typing it. Send a copy to me puts one in your own inbox.

The composer also carries the Expiry date, so you can set or change it at the moment of sending.

Sending moves the proposal from Draft to Sent. The expiry is an absolute date, so sending does not start a countdown.

Share with link in the composer, or Copy link on the proposal, gives you a link you can send however you like: a message thread, WhatsApp, wherever they actually reply to you.

Sharing a draft marks it as sent, and CoreHue asks you to confirm that first.

What the client gets

An email with your message and a link. The proposal opens as a page showing what you're proposing. No sign-in, nothing to install.

Writing the covering note

Short, and pointing at the thing:

Hi Kate, here's everything we discussed, with the two coverage options. You can accept and sign straight from the page. Any questions, just reply to this email.

Two things worth including: that they can do it all from the page, and that they can reply to you. The first stops them waiting for a separate contract. The second stops silence.

Resending

Resend proposal sends the same proposal again. Do this when they lost the email.

Check the Email history first, in the three-dot menu. If the email came back undelivered, sending it to the same address fails again. See When an email doesn't arrive.

Chasing

Unanswered proposals can be chased automatically. See Chasing documents.

Worth turning on. Proposals go quiet more from being forgotten than from being rejected.

Changing one after sending

A sent proposal can still be edited, and Edit expiry changes the date on its own. Both sit beside Resend proposal in the header.

Think before you do. The client may be looking at the version you sent, and prices changing under them is a bad experience. CoreHue keeps each version you send, so an acceptance is always tied to the exact proposal the client reviewed. That's a safety net, not a reason to edit a live one.

For genuinely different pricing, Duplicate it from the three-dot menu and send a fresh one. The original stays in your list as a record.
