Adding and finding contacts
The list
Your contacts list shows Name, Email, Type, Business and Added, twenty to a page. A contact with no email address reads "No email" rather than looking broken.
Click Name or Added to sort by it, and click again to reverse the order.
Search matches names and email addresses. It doesn't look at the business name, so search for the person rather than the company. Two filters sit beside it:
- Type: All contacts, Leads, or Clients
- Status: Active, Archived, or All contacts
On a phone the two filters fold into a single Filters panel.
If an email address is on more than one of your contacts, the row says "Also used by another contact" underneath it. That's usually a duplicate worth dealing with. See below.
Adding one
Choose Add contact on the list, or the plus that appears when you hover Contacts in the sidebar.
The form asks for a Contact type (Lead or Client), a Name, and then Email, Phone and Company. Only the name is required, but a contact with no email can't be sent anything, so add one whenever you have it.
Choose Create contact and CoreHue opens their record.
Most of your contacts will create themselves from bookings, inquiries and form submissions. Adding by hand is for people who reached you another way.
Possible duplicates
As you type an email address into the Add contact form, CoreHue looks for an active contact who already uses it. When it finds one, a Possible matches panel appears under the fields, with the message "You may already have this contact" and a Use contact button.
Take it. Opening the existing record keeps that person's history in one place, which is the entire point of contacts.
Two things worth knowing. The check looks at the email address alone, and only at contacts that are still active. Two records with the same name and different addresses are never pointed out, and neither is an archived one. And CoreHue only points out duplicates. It cannot merge them. If two records for the same person already exist, pick whichever has the history worth keeping, and archive the other.
Editing
Open a contact and choose Edit. Alongside type, name, email, phone and company, the edit form adds Address, City, State, Zip and Country.
Changing an email address changes where everything you send from then on goes. That includes a resend of a document you already sent. Emails that have already gone out went to the old address.
What you can do from a contact
Rather than starting elsewhere and searching for the person, work from their record. The top of the page carries:
- Send message, the main action
- Edit
- The three-dot More actions menu, with Create proposal, Create booking, Create invoice, Create contract, Create questionnaire and Archive contact
Everything you create this way arrives with their details already in place. If the contact has no email address, Send message opens the edit form instead so you can add one first.
Field limits
Generous, but worth knowing if you paste in long text: name 200 characters, email 320, phone 50, company 200, address 500, city and state 100 each, and notes 5,000 per note.
