The contact record
Open a contact and you get everything about that person on one page.
The figures at the top
Four cards summarise the relationship:
| Card | What it means |
|---|---|
| Total revenue | What they've actually paid you |
| Balance due | What's still owed |
| Bookings | How many they've had |
| Last activity | When something last happened, as a relative time |
If you work in more than one currency, Total revenue and Balance due each get a small currency menu so you see one currency at a time rather than a meaningless combined number.
Between them these answer the question you usually open a contact to ask: is this a good client, and do they owe me anything?
The tabs
Eight tabs run under the figures. The five document tabs carry a count, so you can see where things stand before you open them.
Overview. This holds four things. Their Contact details: email, phone, company and address, with a copy button on the email and phone. A Details card holding Contact type, Status, Source, First booking, Added and Last updated. A Revenue chart. And Contact notes.
Activity. A timeline of everything that has happened with them, oldest entries loading as you choose Load more.
Message threads. Every conversation you share with this person, newest first. Each row shows the subject, a preview of the last message, when it arrived and an unread count. A paperclip means the last message carried a file. A marker means a message in it had a delivery problem. Choose one and it opens in Messages.
Proposals, Bookings, Invoices, Contracts, Questionnaires. One tab each, listing everything of that kind for this person with its status, dates and amount.
There's no galleries tab. Galleries live in their own section of the sidebar. See Galleries.
The Revenue chart
On the Overview tab, Revenue plots what this person has paid you, a bar per month. Refunds come off the month they were issued. Change the window with the period menu: Last 6 months, Last 12 months, This year or Last year. If they've paid you in more than one currency, a second menu picks which one you're looking at.
Private notes
Contact notes sit at the bottom of the Overview tab and are only visible to you. The client never sees them. They aren't included in anything you send. The note box says so plainly, in grey inside the box: "Only you can see this."
Use them for the things that make you better at your job and would be awkward in an email: they hate posed shots, the venue coordinator is difficult, they're always twenty minutes late, their mother should be in more photos than she asks to be.
Choose Add note in the Contact notes section to write one. Each note carries a pencil and a bin icon, so you can edit or delete it afterwards. A note holds up to 5,000 characters. A note that has been changed since you wrote it says "Edited" under it.
Getting the history
The Activity and Message threads tabs are the reason to keep everything in CoreHue rather than spread across your inbox. When a client says "you said you'd include the album", you can go and look.
Message threads includes replies you send from your own email app too, so the record stays complete even when you don't use CoreHue to answer. See Replying from your own email.
