Where sessions happen
Every service says where it takes place. The client sees this before booking, and it decides whether they're asked for an address.
Find it under Location on the Availability & location tab. On an inquiry service that section folds into the Details tab. On a mini session it sits on Dates & location.
The options
Location type lists a different set on each mode, because not every option makes sense for every one:
| Setting | What it means | Where it's offered |
|---|---|---|
| Fixed location | Use one location you set | Both |
| Client's location | Client provides the location. On a direct booking service, they give it while booking | Both |
| Client chooses the location | Client chooses your location or theirs | Inquiry only |
| Virtual | Meet remotely | Both |
| In person or virtual | Client chooses how to meet | Direct booking only |
| Decide later | Choose after reviewing the inquiry | Inquiry only |
Fixed location, Client chooses the location and In person or virtual all reveal a Location name and Address. Both appear on the booking and in confirmation emails, so nobody arrives at the wrong door.
Client's location asks for an address as part of booking, which then travels with the booking. Use it for on-location work.
Client chooses the location suits an inquiry service for a photographer who does both, so you don't run two near-identical services. The client picks between your venue and "At my location".
In person or virtual is the direct booking equivalent. It asks "How should the service be held?" and offers In person or Online.
Decide later is honest for inquiries where the location is part of what you're going to discuss. It isn't offered on direct bookings, where the client reasonably expects to know where they're going before they book.
New direct booking services start on Fixed location. Inquiry services start on Client's location.
Mini sessions are different
A mini session service has no Location type field. The Location section sets a default: "Set a default location. You can change it for individual dates". Each date under Schedule carries its own Location name and Address. That's how one service covers a park one weekend and a studio the next.
Video calls
On a direct booking, choosing Virtual or In person or virtual reveals a Virtual setup section with four choices:
Google Meet, "Create a Google Meet link automatically." Needs Google Calendar connected, and the option is greyed out until it is. See Google Calendar.
Zoom, "Create a Zoom link automatically." Needs Zoom connected. See Zoom.
Custom link, "Use your own meeting link." Reveals a Meeting link field, which must start with http:// or https://. Fine for a personal meeting room. Bear in mind everyone gets the same one, so two consultations close together share a room.
Add details later, "Share the details after booking."
If the provider you picked isn't connected, its card is greyed out, the section shows a warning, and a Connect button takes you to Bookings → Settings → Integrations. A Manage integrations link sits under the section either way.
Inquiry and mini session services have no Virtual setup section. An inquiry can still be marked Virtual, but there is no meeting link to create, because nothing is booked yet. Agree the details in the conversation that follows. A mini session runs at the location on its date.
Automatic links are worth the setup. A fresh link for each booking avoids the awkwardness of someone walking into the end of your previous call.
What the client is told
The location goes in their confirmation email and on their booking page.
For a virtual booking, the join link is on their booking page and not in the email. It appears where the location would be, reading Join Google Meet, Join Zoom or Join Online meeting. It only appears once the booking is confirmed. The email links them to that page, so tell them to come back to it on the day.
If you're using a fixed location, put anything useful in the service description: parking, the buzzer code, which entrance. It saves a message on the day.
